Administration Officer
Salary: £26,000 per annum
Monday – Friday. Monday – Thursday, 8:30am – 5pm and Friday, 8:30am – 2:30pm (37.5 hours per week with 30 minute unpaid lunch)
Hybrid working (specific breakdown below and fully remote is not an option):
Monday – Wednesday: remote based with expectation of suitable working station and strong internet connection
Thursday and Friday: office based (must live within sensible commuting distance to office).
Office based (on Thursday and Friday) in Corby, Weldon area. Fully office based during initial training period too.
Match Recruitment have partnered with a small, but long established and successful business located in Corby, Northamptonshire. This will initially be a 1 year Fixed Term contract. Depending on the person’s performance, this could become a permanent contract. However, there is no legal obligation for them to offer a permanent contract, please only apply if you’re comfortable with this being up to 12 months without the promise of a permanent contract.
Purpose of the role:
The Administration Officer will support the effective progression of project cases by providing accurate case management, maintaining strong stakeholder relationships, and ensuring compliance with professional and regulatory standards. This role contributes to the operational success of the business by delivering high-quality administrative support, upholding financial and procedural accuracy and helping to provide an exceptional service to clients and partners.
What your day to day will look like:
- Act as the first point of contact for all client communication (including telephone enquiries), responding, reallocating, or escalating queries as appropriate.
- Consistently deliver and support exceptional standards of client service.
- Liaise with client partners to ensure cases awaiting their action are progressed in a timely and efficient manner.
- Take responsibility for obtaining any additional information or evidence required to progress cases efficiently.
- Process new cases, including data entry, validation, and submission to the relevant stakeholders.
- Ensure all assigned cases are accurately maintained, on the correct workflow step, and progressed in line with company expectations, maintaining a high standard of administration at all times.
- Monitor the Matter Ageing Report and other CRM reports to identify potential issues early, take appropriate mitigating action, and escalate to the General Manager or relevant Director when required.
- Prepare reports and written summaries as required by management.
- Verify correct execution of Case Agreements, ensuring signed acceptance is recorded and professional fee invoices (where applicable) are submitted to the relevant client partner on a monthly basis.
- Work with the General Manager and Finance Assistant to ensure all financial transactions are accurately recorded, allocated, and invoiced within the CRM system.
- Support the smooth running of the office, including answering telephone calls and greeting visitors, printing, scanning, filing, and maintaining tidy and organised communal areas.
